Privacy Policy

Who we are
WhereToPodcast is a directory and booking platform for podcast recording studios. We run the site, the booking system, and the emails around it. Questions about this policy or your data? Email info@wheretopodcast.com — a person reads it.
What we collect
Account information. Sign-in is handled by Clerk, which collects your name and email address so we can identify you, secure your account, and tie your bookings to you.
Bookings and payments. When you book a studio we keep a record of the session, the amounts, and any refunds or credit. Payments are processed by Stripe — your card details go directly to Stripe and are never stored on our servers.
Studio listings and reviews. Studio owners provide business details (name, address, photos, prices) that are published publicly. Reviews include your rating, comments, and the name you choose to show; we log the submitting IP address to fight spam, and reviews are moderated before they appear.
Messages to the AI concierge. If you chat with a studio's AI assistant, we process your messages to answer them and keep short-lived logs to monitor quality and abuse.
Emails. Booking confirmations, reminders, and other service emails are sent through Resend, which processes your email address to deliver them.
Usage analytics. We measure searches and page views with our own first-party analytics to understand what's working. This data stays with us.
Referral cookie. If you arrive through a studio's
referral link, a cookie (wtp_ref) remembers that for 30 days
so the right studio gets credited.
Third parties we use
Stripe processes all payments and payouts; studios are the merchants, and Stripe handles your card details.
Clerk provides account sign-in and session security.
Google powers optional calendar sync for studios that connect Google Calendar.
CARTO / OpenStreetMap serve the map tiles you see on our search maps (displayed with Leaflet).
Resend delivers our transactional emails.
Cloudflare hosts the site and provides our CDN, image hosting, database, file storage, and the AI model behind the concierge chat.
Each provider processes data only as needed to deliver its service; their own privacy policies apply to their processing.
OnMic (Premiere Pro plugin)
OnMic is our Premiere Pro panel that cuts multi-camera podcasts automatically. OnMic processes your audio and video entirely locally on your computer — your media is never uploaded to us or anyone else. The voice detection that drives the edit runs on your own machine inside Premiere.
OnMic may use on-device face detection (locating faces in your video frames) to help match cameras to speakers. This runs entirely locally inside Premiere on your computer, processes frames transiently, does not perform facial recognition or identification, does not create a faceprint or biometric template, and never stores or transmits face data or images.
To check your access, the panel sends only two things to our server
(/api/onmic/verify): your WhereToPodcast account token, and a
privacy-preserving device hash — a SHA-256 hash of a
hardware identifier. The hash can't be reversed to identify your machine;
we use it solely to limit one free trial per computer and to enforce a
two-device limit per account. Once verified, a license token is stored
locally on your computer in a license.json file so the panel
keeps working between sessions.
Studio marketing pixels
Individual studios on a paid plan may add their own marketing pixels — Google Analytics 4, Meta (Facebook), or TikTok — to their listing and booking pages to measure their advertising. These are tracking technologies set by those companies, not by us, and they only run after you accept optional cookies in our consent banner. Choose "Essential only" and they stay off.

Your rights
You can ask us for access to your data, correction, deletion, a portable copy, or to lodge a complaint with your supervisory authority. We honor these rights for everyone, including under the EU/UK GDPR and the California CCPA. Email info@wheretopodcast.com and we'll handle it. We do not sell your personal information.
A deletion request also covers your OnMic data: your OnMic account record
(onmic_users) and any registered device hashes
(onmic_user_devices) are removed along with the rest of your
account, and any local license.json on your own computer can
be deleted by you at any time.
How long we keep things
Account data stays until you ask us to delete it. Booking and financial records are kept as long as the law requires. Concierge chat logs and analytics logs are kept for roughly 90 days.
Children
The site is not directed at children under 16, and we don't knowingly collect their personal information.
Changes
If this policy changes, we'll update the effective date above. Meaningful changes will be flagged on the site.
